Turning a nine-day reporting cycle into a six-hour one.
Evergreen's quarterly client reporting consumed two analyst-weeks per fund and still shipped with errors. We automated the assembly, verification and delivery pipeline — and gave clients a portal worth logging into.
Challenge
Forty-one spreadsheets fed each quarterly report. Analysts copy-pasted between systems for nine days straight, four times a year, and a single stale cell once reached a client with a misstated return. The firm's client experience was a PDF attachment — while competitors offered live portals. Compliance reviewed everything manually because nothing carried an audit trail.
Approach
We treated reporting as a data supply chain, not a document problem. Discovery traced every number in the flagship fund report back to its source, exposing where figures were re-keyed, transformed in hidden tabs, or dependent on one person's machine. The pipeline was rebuilt source-first; the portal came second, once the data deserved it.
Solution
An automated reporting pipeline that assembles, cross-checks and versions every figure, flagging anomalies for analyst review instead of analyst assembly. Clients now log into a portal with daily-updated positions and the quarterly letter beside them. Compliance signs off from a complete lineage view in hours, not days.
Outcome
“Our analysts were hired to think, and we had them copy-pasting for a month a year. Gilva gave us that month back — permanently.”
